Overview

The Salon Coordinator is responsible for ensuring customer satisfaction in the salon. The salon coordinator greets customers cheerfully and with enthusiasm, making them "feel good" about Carlton Hair from the moment they enter the salon and talking with them while they wait.

The Salon Coordinator knows exactly how the salon operates and uses common sense in carrying out Carlton Hair's guidelines to ensure all customers are satisfied before leaving the salon. The Salon Coordinator has a thorough knowledge of Carlton Hair’s location, products, services offered, pricing structure, and schedule and hours of operation and is able to communicate this information to customers in person and on the phone. It is important for the Salon Coordinator to understand that the voice on the other end of the phone is a potential customer if the information is delivered cordially and clearly and may be a no show if it is not.

Responsibilities

• The salon coordinator answers the telephone promptly and professionally
• Properly book appointments and confirm appointments, resolve all appointment related issues, offer add-on services, answer questions regarding all services and pricing
• Greet each customer, offering them a beverage and magazine
• Act as a liaison between the customer and service provider to ensure services are performed in a timely manner and direct clients to their service provider
• Suggestively sell gift cards and retail products by offering customers the opportunity to purchase hair care products
• The salon coordinator estimates customer wait times
• Operate the POS (computerized cash register), accept payment, accurately give change and provide receipts and process product and service refund forms;
• Listen attentively to customer complaints, resolve customer complaints when the Salon Manager is not present and refer them to the Salon Manager if the Salon Manager is present
• Keep the reception area, desk, windows, product shelves and platform clean;
• Inventory, display, label and stock retail products and ensure pricing is correct;
• Educate other staff members about retail products
• Balance the cash drawer at the beginning and end of each shift and day and make the daily deposit
• Follow all opening and closing procedures, including opening salon - hour before first client
• The salon coordinator works a flexible schedule, including a substantial number of evening and weekend hours
• Attend work timely and consistently, including attending mandatory staff meetings and other meetings required by management
• Communicate effectively with management, customers and co-workers in a professional and courteous manner
• The salon coordinator ensures faxes, phones and computers are working and order supplies as needed for fax, phone, computer and printer
• Keep records for salon including hair total sheet, client count, retail sales and color sales
• Print or write schedules for each stylist
• Receive and distribute faxes to manager, posting those required to post
• Inform office of Terminations immediately and fax in termination forms
• Update Education Binder with current roster and scheduled fax on a weekly basis
• Write in salon journal daily important information for Salon Manager and other coordinators to read
• Comply explicitly with and promote all corporate policies, procedures and work rules
• Maintain confidential information regarding the Company, its customers and its employees.

Physical Requirements

• Frequent lifting up to 10 lbs to pick up bottles of product needed to perform hair services and stock retail shelves. Occasional lifting 10-25 lbs to assist unloading monthly shipment of products.
• Continuous standing throughout the day
• Continuous reaching, alternating between shoulder level and above shoulder level height to perform services, stock shelves, retrieve product / supplies from cupboards and shelves.
• Continuous exposure to various chemicals and fragrances used in performing services and styling hair, including but not limited to permanent solutions, shampoos, conditioners, hair spray and client perfume.
• Occasional climbing of ladder / stepstool to stock shelves, retrieve products and maintain salon.
• Visual ability to read tickets, directions, pricing, client cards and computer system
• Ability to communicate with customer regarding pricing, services offered and requested and the customer’s needs and wants.
• Basic reading, writing and mathematical skills necessary to read and complete company forms and other documents
